How I Helped Club Forster Streamline Their Website and Marketing Operations

Working with Club Forster was a fantastic opportunity to streamline their entire marketing and web design operation.

As a major venue with over 14,000 members and a wide range of services—from events and functions to day-to-day patronage—Club Forster needed a website and marketing system that could handle the complexities of their business. That’s where I came in!

Their previous marketing manager had done a great job juggling the many apps and platforms required to manage their operations—everything from their website, in-house screens, and social media, to email marketing and SMS campaigns.

But with my experience in optimising these tools across multiple businesses, I was able to massively streamline the process, allowing Club Forster to operate more efficiently and effectively.

 

The Challenge: Managing Multiple Marketing Platforms

With Club Forster being a large club located in a tourist area, their membership base includes many out-of-towners who frequently visit during school holidays and public holiday weekends. Handling marketing operations for such a large and diverse audience was challenging. They needed a solution that simplified processes, reduced admin workloads, and ensured that their promotions and member communications ran smoothly.

The Solution: Streamlining Operations & Maximising Efficiency

We built Club Forster’s website on Squarespace, which not only organised information clearly for visitors but also served as an in-house touchscreen. This eliminated the need for information duplication across multiple platforms. The website was also a masterclass in Cognito Forms—one of my favourite tools! We developed a functions pack for their event spaces, where potential clients could fill out an inquiry form and immediately receive the functions pack via email. This ensured clients were fully informed before being contacted, while building Club Forster’s database in the process.

One of the most significant wins for Club Forster was bringing their membership renewals online. While new memberships are often purchased in person (patrons typically make back their membership investment on their first visit), the ability to renew memberships online drastically reduced the workload for the admin, accounts, and reception teams—particularly during the hectic holiday seasons when out-of-town members flood the club.

 

Ongoing Marketing Strategy & Tools

I also implemented a rolling 12-month marketing strategy using Trello, which allows the team to capture all details of annual and one-off promotions. From social media post scheduling to day-of-event implementation and task allocation, Trello ensures no detail is missed and opportunities are maximised year-on-year. Paired with Later for social media scheduling, the team can now plan out posts months in advance, ensuring consistent communication with members.

Additionally, I trained the reception team on Canva, so those last-minute jobs—like signage or event updates—could still appear professional and on-brand, without the need for external designers. This level of automation and self-sufficiency has transformed Club Forster’s marketing efforts, and I know they’ll be able to maintain and enjoy these efficiencies for years to come.

The trust they placed in my process meant we were able to create a system that not only works now but will continue to deliver results for the long term.
